Asynchronous and synchronous communication in the remote workplace

The remote workplace has both transformed how we work and opened up an entirely new world of communication methods. While synchronous collaboration — mostly in office, and face-to-face — was the preferred method for many global organizations, remote work has increased the popularity of asynchronous communication. There is considerable debate about which is more beneficial, both to employees, and to business. And it is a tough choice for remote workers who must balance real-time interactions with flexible collaboration to stay productive and efficient.

The sprint of synchronous communication

Demanding full engagement simultaneously, synchronous communication mirrors the intensity of a sprint. Meetings, video calls, and instant messaging provide immediacy, enhancing human connection, but concealing potential pitfalls. Coordinating meetings across diverse time zones becomes a logistical challenge in a globalized work setting, sometimes culminating in burnout and hindering seamless collaboration.

Much like a sprinter committing every ounce of energy to the race, synchronous communication requires active participation in real-time interactions. The pressure to respond instantly can lead to a relentless cycle of back-to-back meetings, leaving limited room for deep, focused work. And within in-office environments, where employees must factor commute times into their already busy schedules, synchronous meetings can be exhausting.

This method allows remote workers to manage time effectively, fostering work-life balance and enabling deep, focused work. Empowering professionals to address tasks when most productive, the marathon mindset inherent in asynchronous communication allows for breaks when needed, contributing to a sustainable and fulfilling work routine.

To leverage the potential of communication, remote teams can utilize various tools customized to meet their requirements. Platforms like Trello, Asana, and Jira offer spaces for managing tasks and monitoring progress, creating an environment that fosters collaboration without the limitations of real-time interaction. Collaborative platforms such as Google Docs and Microsoft 365 facilitate simultaneous work across locations and time zones, promoting flexibility and inclusivity.

Incorporating improved collaboration and communication features into Slack and Microsoft Teams, even from things as light-hearted as Giphy or a recognition tool, is often a company decision. But these features help to encourage responses when an employee has time and bandwidth available, alleviating the pressure to reply immediately while encouraging a communication style that is reflective and considerate. With time to respond, team members can fully digest information to provide detailed, and clear feedback.

The power of asynchronous collaboration

Flexibility and work-life balance: Asynchronous communication is central to cultivating a healthy work-life balance for remote workers. Professionals can address tasks at their peak productivity, avoiding burnout and enjoying the flexibility to tend to personal commitments. The absence of real-time constraints allows team members to take breaks when needed, contributing to a sustainable and fulfilling work routine.

And with remote teams, offsite sessions may only be needed once or twice a year, as teams continue to communicate and collaborate successfully in their remote environments.  

On the other hand, tasks that require deep concentration and individual contribution can be entrusted to the autonomy and flexibility afforded by asynchronous communication. By discerning the unique needs of each project or task, providing detailed briefing documents and research, remote teams can customize their communication approach, maximizing efficiency and output.

Establishing clear communication guidelines

Remote teams must establish clear communication guidelines to successfully navigate the dual concept of asynchronous and synchronous communication. This involves defining when synchronous communication is imperative and when asynchronous methods are more appropriate. By fostering a shared understanding within the team, miscommunication and the potential for frustration are minimized.
